DEPOSIT/CANCELLATION POLICY

Cancellation Deadline: Cancellations made on or before May 15th, 2026 are eligible for a refund of fees paid, minus the non-refundable deposit.

After May 15th, 2026: All camp fees are due in full. No refunds will be issued for cancellations made after this date, regardless of the reason, as staff, supplies, and program resources have already been secured for the summer.

A $100.00 non-refundable deposit per Overnight Camp session, which is part of the total camp fee, is required for any registration form to be processed and your child’s spot reserved. 

A $50.00 non-refundable deposit per Day Camp session, which is part of the total camp fee, is required for any registration form to be processed and your child’s spot reserved. 

Camp Hanes does not issue partial refunds for campers that go home mid-session due to homesickness or behavioral issues.

CHANGING SESSIONS

Campers may switch sessions (change weeks) at no additional cost prior to May 15th, 2026. After May 15th, 2026, deposits are non-transferable and any changes are subject to full session tuition charges.

If you need to change the session you initially registered for, please call the camp office and we will be happy to help you. Please note that once a program is full we are unable to add additional campers and space is available on a first come first serve basis. 

FINAL PAYMENT

Your camper’s session is to be paid by May 15th. You have an option to select and auto draft if you so choose with your registration payment and any registrations after May 15th will be expected to be paid in full at time of registration. 

CAMPER FORMS

In order to complete your campers registration you are required to complete and submit all forms and pay the deposit. Please email the registrar@ymcanwnc.org if you need to make any updates or changes to your forms 30 days prior to attendance. We encourage parents to talk with their doctor about camp prior to attending if they have concerns or their child has a known medical condition that typical camp activities may be an issue. Health forms, including immunization records, must be filled out completely before any child can begin their session. Returning these forms in advance also makes the check in process go much more smoothly!

DISCOUNTS/FINANCIAL ASSISTANCE

Our goal at YMCA Camp Hanes is make sure every child has the ability to experience our character values of Honesty, Caring, Respect, Responsibility and Faith. To that end, we offer a variety of ways to make camp as affordable as possible for every family.

Looking to save on Overnight Camp? You can Bring a Friend to camp. If you recruit a new camper to come for a week of Overnight Camp you both can save $50 off your week. When your new camper friend registers make sure they share your name in how they heard about camp!

Lots of campers ready for fun at Overnight Camp? We offer a Second Child Discount of $50 off the cost of camp for siblings. Each additional child after the first will have the discount added on to the account within 48 hours after you've submitted your registration. The more the merrier.

Are you a member at a branch in the YMCA of Northwest North Carolina? Wonderful! As a current member of our Association we are happy to offer you a Member Discount for your support and dedication at both Overnight Camp and Day Camp.

If you still feel unsure about the cost of camp but believe in the experience it can offer to your camper, you are welcome to apply for financial assistance. Through our Open Doors Program we offer financial support to our families.

HANESBRANDS INC, EMPLOYEES

HanesBrands Inc works with their employees to provide a 30% support for one week of camp for their children. When registering your camper please contact us at camp at 336-983-3131 or registrar@ymcanwnc.org to let us know you are an employee.  

CHECK IN/CHECK OUT

Check in begins at 2:00pm on Sunday.

Check out is at 3:30pm on Friday.

PHONES

Campers are not permitted to bring cell phones or make calls during their time at camp. If any situation were to arise we would contact you and allow you to speak with your camper. If we find a camper's cell phone we will lock it up in our safe for the week and give it back to them at check out. If you need to contact your camp via phone you can call the office at 336.983.3131 or after business hours call our infirmary at 336.409.2382

CAMPER EMAIL

You may email your camper at camper@ymcanwnc.org and they will receive a printout of the e-mail during meal times. Please understand that they will not be able to respond.
